The Problem
The procurement department at a large organization faced significant challenges in tracking and managing incoming packages. With deliveries arriving multiple times a day from various carriers—including pallets of supplies for over 15 locations—ensuring accurate and timely distribution was becoming unmanageable. The team relied on a manual process that involved looking up employee information, writing missing details on packages, and making extra trips when deliveries were misrouted or incomplete. This lack of visibility led to inefficiencies, miscommunication, and slowed the procurement workflow. As the company grew, it was clear that their existing system was inefficient and unsustainable.

The Evaluation
To fully understand their challenges, we conducted an on-site evaluation of the warehouse’s sorting and delivery process. By observing how employees managed incoming shipments and speaking with warehouse staff and delivery drivers, we identified key pain points in their daily workflow. The biggest inefficiencies stemmed from manual tracking such as handwriting package details and cross-referencing directories to determine delivery locations. Miscommunication between managers and drivers further complicated the process, leading to delays and duplicate trips.
After gathering insights, we met with procurement managers to outline their core requirements. They needed a system that could:
Automate package identification and eliminate manual lookups
Provide real-time tracking and visibility for both employees and managers
Reduce duplicate trips and improve delivery efficiency
Offer a mobile-friendly solution that integrated with their existing workflows
With these priorities in mind, we researched and evaluated software solutions that could address their needs while seamlessly integrating with their current operations.
The Selection
After assessing multiple options, the procurement team implemented Notifii, a package tracking solution with robust analytics and a mobile app for both iPhone and Android devices. Unlike traditional barcode scanners, Notifii’s Optical Character Recognition (OCR) technology allowed delivery drivers to use their phone cameras to scan packages, capturing not just tracking numbers but also recipient names and other key details from the packing slip.
This automated name-matching feature instantly pulled up the correct building and seat number from the company’s employee database, eliminating the need for manual lookups. The software also enabled employees to update package statuses—from warehouse to transit to final delivery—while automatically notifying recipients when their items arrived.
For managers, Notifii provided complete oversight of package movement, offering real-time tracking, detailed delivery logs, and analytics on efficiency metrics. By reducing errors, cutting down on unnecessary trips, and improving communication between team members, the procurement department transformed its package tracking process into a faster, more reliable system that scaled with the company’s growth.
